Policies
Registration & Payment
- Payments are non-refundable and non-transferable as your payment has already been allocated to resources and expenses incurred based on your registration in the class(es).
- In the event of extenuating circumstances that prevent the student from being able to participate in class for the foreseeable future (i.e. medical reasons that prevent you from attending classes as recommended by your medical provider) students can submit a request in writing via email. If approved, the refund will apply to classes occurring 48 hours after the date of receipt and subject to an administrative fee. Credit card refunds are also subject to a 5% admin fee on the refund amount.
- Payments are accepted through credit card on our website or email transfer (please email us to arrange). We do not process transactions at the studio or accept cash.
- Send email transfers to hello@nicoleblackwood.com. We will book you in manually after which you will receive registration confirmation.
- We offer payment plans for membership registrations (see below).
Membership Hold Requests
Students can request to put the dollar amount paid for a membership or class pass on hold if they are unable to participate in their remaining classes due to extenuating circumstances such as medical reasons or family emergency. Requests must be received in writing via email. Approved requests are effective from the date the email was received. Classes can be put on hold for up to a year beyond which the student can request for an extension. Hold credit cannot be transferred to another person.
Recurring Membership & Payment Plans
- Membership monthly payment plans are subject to a $5 admin fee that is applied to the first payment. The first payment is due at checkout when you register. The subsequent payments will be charged monthly after the first. There is no setup fee for quarterly payment plans.
- Membership payment plans require a minimum three month commitment (or to the end of the ongoing session for new students who joined after the session started). If you wish to cancel prior to the end of this commitment, your payments (both past and upcoming) will be put on hold for future registration (see Membership Hold Requests for more details).
- After the three month commitment, you can cancel your Membership payment plan prior to the next payment. There will be an additional fee applied to your credit card to account for not completing the duration of your payment plan. You received a discount for committing to a longer period and the additional fee represents what you would have paid for a shorter commitment.
- To cancel your recurring Membership, please email us at hello@nicoleblackwood.com. The cancellation will apply to classes occurring 48 hours after receipt of email. If there is a remaining balance on your account it will be put on hold for future registration.
- If you have to discontinue classes short-term for extenuating circumstances, like medical reasons, we will pause your payments for up to 6 months at no charge. At this point your space in class will open up. Any classes that have already been paid for with a previous payment will be put on hold.
- You can switch to another class (online or in-studio), space permitting, at any time at no charge.
- Payment plans do not apply to class passes, gift certificates, workshops, courses, or other special series and are subject to an administrative fee.
Class Cancellations
- Regular weekly classes canceled due to inclement weather, power outages, or other circumstances out of Embody Yoga Studio’s control will not be credited, refunded, or rescheduled. Students are invited to attend another class during the session to make up the canceled class or do a class from our online Members’ Area. Depending on the teacher’s access to technology, we may offer a Zoom online class, but this is not guaranteed.
- Workshops or special series will be rescheduled due to inclement weather, power outages, or other circumstances out of Embody Yoga Studio’s control.
- Students will be notified of cancellations via email no less than 1.5 hours before class. We will also post cancellations to Facebook and Instagram.
- In the event a teacher cannot teach due to personal reasons, the class will be taught by a substitute teacher or be rescheduled. Students can also make-up by attending a different class instead.
- In the event a teacher cannot teach in-person (i.e. self-isolating) but is able to teach from home, the class will be taught online or a substitute will teach from the studio. Students can also make-up by attending a different class instead.
Membership Make-up Classes
- Members register for the same weekly class(es) but our generous make-up policy allows you to make-up any missed classes by attending another class that meets your needs.
- Students are invited to attend another class anytime during the ongoing session that they hold a membership for, either in advance or after their missed class(es).
- Single Session Members – Make-ups cannot be carried over or be used as credit towards the subsequent session. If a student terminates their Membership, their make-ups are forfeited.
- Plan Member (6/9-month and Annual) – Make-ups must be used within the time period of your Membership Plan.
- Make-up classes cannot be used as credit towards workshops, private lessons, special offerings, purchasing yoga props or other retail items, or any other programs at Embody studio.
- Make-ups are not transferrable to someone else.
Community Discount – 5% off Memberships
This discount is for those who need financial support to attend yoga with us. Often discounts such as this apply to students, seniors, or yoga teachers but not all people in these categories need assistance while someone else may. If you are in a season in your life where you need a little lift then please reach out for a discount. If our classes are still not accessible to you at this discount please get in touch.
Class Recordings
Members can request access to the recording of the class if unable to attend live in person. This will count as their “Make-up” for missing the live class. Please note that morning class recordings may not be sent until that evening and evening class recordings may not be sent until the following morning. Access will be given for 24 hours. Please be aware that we are within the limitations of Zoom livestream recording for video and audio quality. Additionally, sometimes there are technological issues and there may not be a recording available for the class.
Passes/Drop-in Cancel/Reschedule
- You may cancel or reschedule your Pass or Drop-in booking up to an hour before the class begins. Within an hour of the start of class you are unable to cancel/reschedule. Your payment secures your space and others may be turned away.
- Rescheduling Instructions – If you are unable to attend and have booked with a Pass, please use the Change/Cancel button in this email at least 1 hour prior to your class. For Drop-in, you can use this link to reschedule for the same class type and/or time but if you wish to attend a different class type and/or time you will need to cancel your appointment and email us to rebook.
COVID-19 Closure
- In the event the studio needs to close temporarily due to COVID-19, all classes will continue online through Zoom.
- Registration is non-refundable. In-studio students can continue class online or put their registration on hold (credit) for future use. A special exception may be granted for extenuating circumstances. Requests must be received in writing via email. Refunds will apply from the date of receipt and subject to an administrative fee.
